Returning an Asset

An asset that has been Transferred can be returned at any time.

You can return an asset in two ways:

Return an Asset via the Dashboard

The Return button is located to the right of each asset in the Dashboard.

A table displaying asset statuses in an asset management system. The table has columns for Status, Person, Location, and Returns On. The first row shows an 'Available' asset with a green status indicator and a 'Transfer' button. The next two rows show assets 'In Use' with blue status indicators, assigned to Josh Brolin at 'Calcia Hall' and Lisa Kudrow at 'Maintenance Building.' Their return dates are March 31, 2025 (23 days remaining) and April 30, 2025 (1 month remaining), respectively, each with a 'Return' button.

Click the Return button to open a modal that guides you through finalizing the return.

Side note: To learn how to transfer an asset visit the Transferring an Asset section.

Return an Asset via the Asset Details page

An asset can also be Returned via the Asset Details page.

An 'Asset Details' page displaying the status of an asset marked as 'In Use' with a blue indicator. The asset is assigned to 'Ben Stiller' at the location 'Calcia Hall.' The return date is set for June 30, 2029, with a note indicating '4.3 years' remaining. The page includes options to 'Edit Asset' with a purple button in the top right and a 'Return' button in green.

Similarly to the option in the Dashboard, clicking the Return button opens a modal where you can configure settings before finalizing the return.

The Return Asset modal provides a few options before returning the asset.

The modal includes a small asset image, a text box for adding notes, an option to capture images using the 'Camera' button, and two action buttons: a green 'Return' button and a gray 'Close' button. A red 'X' button in the top-right corner allows closing the modal.

Modal title

To the right of the modal title, the system displays the asset’s current status. In this case, the asset is marked as "In Use."

Note field

The Note field allows you to add any relevant details when returning the asset. This can include information about the asset's condition or any other important notes.

A 'Note' field containing the text: 'The camera was returned with a minor dent at the bottom of the body.' The text box is highlighted with a blue border, indicating it is active for editing.

Images

The Images field allows you to capture real-time photos of the asset. Clicking the Camera button activates the camera on your device (laptop or mobile), enabling you to take and upload images instantly.

A set of three images showing different angles of a silver Canon camera with a black strap. The first image displays the front view with the lens removed, exposing the sensor. The second image captures the back of the camera, showing the LCD screen and control buttons. The third image presents a top-down view, highlighting the mode dial and shutter button. Each image has a small 'X' button for removal, and a 'Camera' button is visible for capturing additional photos.

These images are recorded in the History of the asset, providing a complete view of its lifecycle.

Images can also be snapped upon Transferring the asset and compare the condition of the asset between the time it was issued and the time it was returned.

Quick tip: When you remove an image, it doesn't get deleted immediately. Instead, it goes to the Trash, where you have 7 days to retrieve it. To learn more about how deleting various elements in AMS works, visit the Trash section in this guide.
